Email Setup Guide
Welcome! This page walks you through setting up your Sfida.PRO-hosted email on every common device and app. Pick your app from the list below, follow the steps, and you’ll be sending and receiving mail in under five minutes.

Before you start — your account details
You’ll need the following from us. If you don’t have them yet, reply to your onboarding email or contact us — we’ll send your credentials over a secure channel.

Everywhere you see yourdomain.com on this page, replace it with your own domain.
Server settings (quick reference)
All apps use the same server settings — only the wording changes from app to app. Keep this table open while you set things up.
Incoming mail (IMAP — recommended)

Why IMAP and not POP3? IMAP keeps your mail on the server and synced across every device — your phone, laptop, and webmail all show the same inbox. POP3 downloads mail to one device and deletes it from the server, which is rarely what you want today. We strongly recommend IMAP.
Webmail (no setup required)
The fastest way to access your email is through our webmail — no installation, no configuration. Use it from any browser, including on a friend’s computer when you’re traveling.
- Open https://my.sfida.biz in your browser.
- Enter your full email address (e.g.
[email protected]) and your password. - Click Sign in.
That’s it. From here you can read, send, and organize mail, manage your address book, and change your password (recommended after your first login).
Apple Mail (macOS) and iPhone / iPad
The setup flow is almost identical on Mac and iOS — both walk you through the same screens.
iPhone / iPad
- Open Settings → Mail → Accounts → Add Account.
- Tap Other → Add Mail Account.
- Fill in:
- Name: your full name (this is what recipients see)
- Email:
[email protected] - Password: your password
- Description: anything you like (e.g. “Work email”)
- Tap Next. iOS will try to detect settings automatically. When it asks, choose IMAP.
- Under Incoming Mail Server, enter:
- Host Name:

- Tap Next. iOS verifies the connection — this takes 10–30 seconds.
- Tap Save. Your inbox will start syncing.
macOS (Apple Mail)
- Open Mail → Settings → Accounts → + (plus icon at the bottom left).
- Choose Other Mail Account and click Continue.
- Enter your name, email address, and password. Click Sign In.
- When Mail says “Unable to verify account name or password”, that’s expected — it just means it couldn’t auto-detect the server. Fill in the fields it now shows:

- Click Sign In. Mail will verify and add the account.
- Choose the apps you want to sync (usually just Mail) and click Done.
Outlook (Windows, Mac, and Outlook Mobile)
Outlook desktop (Windows or Mac)
- Open Outlook and go to File → Add Account (Windows) or Outlook → Settings → Accounts → + (Mac).
- Enter your full email address (
[email protected]) and click Connect. - When Outlook asks for the account type, choose IMAP.
- Fill in the server settings:

- Click Connect (or Add Account). Outlook will test the connection and add the mailbox.
- Click Done.
Tip: If Outlook keeps trying to set up the account as Microsoft 365, click Advanced options → Let me set up my account manually before entering your password.
Outlook Mobile (iOS and Android)
- Open the Outlook app and tap Add Account.
- Enter your email address and tap Continue.
- When asked to pick a provider, scroll down and choose IMAP.
- Enter:

- Tap the checkmark to save. Outlook Mobile will verify and start syncing.
Android (Gmail app or any IMAP mail client)
These steps cover the built-in Gmail app on Android. The flow is similar in Samsung Email, BlueMail, Spark, and other Android mail apps.
- Open the Gmail app and tap your profile picture in the top-right.
- Tap Add another account.
- Choose Other as the account type.
- Enter your full email address (
[email protected]) and tap Next. - Choose Personal (IMAP) as the account type.
- Enter your password and tap Next.
- Incoming server settings:

- Tap Next. Wait for the app to verify.
- Outgoing server settings:

- Tap Next. Choose how often to sync (15 minutes is a good default).
- Give the account a display name and tap Next.
Mozilla Thunderbird
- Open Thunderbird and go to File → New → Existing Mail Account (or the welcome screen on first launch).
- Enter your name, email address, and password. Tick Remember password if you’d like.
- Click Continue. Thunderbird will try to auto-configure. After a few seconds it usually says it couldn’t find settings.
- Click Configure manually and fill in:
- Incoming — IMAP: Server

- Click Re-test. When the green check appears, click Done.
Troubleshooting
“Cannot verify server identity” or certificate warning
Make sure the server name is exactly my.sfida.biz (no mail.yourdomain.com, no typos). Our certificate is issued for my.sfida.biz — if you put a different hostname there, you’ll see a warning.
“Authentication failed”
- Double-check your full email address is used as the username (not just the part before the
@). - Confirm the password — copy and paste it from the credentials we sent you to avoid typos. Special characters like
!@#are easy to mistype. - If you recently changed your password via webmail, update it in every device.
“Cannot send mail” (incoming works, outgoing doesn’t)
This is almost always the SMTP port or encryption. Confirm:
- Port
587(not25and not465) - Encryption
STARTTLS(notSSL/TLS, notNone) - “Outgoing server requires authentication” is ON, with the same username and password as incoming
Mail is slow or “stuck”
Try toggling airplane mode on mobile or restarting the app. If it persists, switch from Wi-Fi to mobile data (or vice versa) — some ISPs block standard mail ports.
Forgot your password?
Email [email protected] from a backup address and we’ll reset it for you.

Frequently asked questions
Can I use the same email on multiple devices at once?
Yes — that’s exactly what IMAP is for. Set it up on your phone, laptop, and tablet, and everything stays in sync.
How much storage do I get?
Your mailbox storage is defined in your hosting package. If you’re approaching the limit, we’ll let you know — you can either archive old mail or upgrade your plan.
Is my mail encrypted?
Yes. All connections to my.sfida.biz use TLS encryption (the same standard banks use), both when you fetch mail (IMAP) and when you send (SMTP).
Can I forward mail to my Gmail?
Yes. Log in to webmail at https://my.sfida.biz, open Settings → Filters, and add a forward rule. We’re glad to set this up for you on request.
What about calendars and contacts?
We can enable CalDAV and CardDAV (calendar and contact sync) on your mailbox if needed. Ask us — it’s a one-line config change on our side.
